Employers
An employer’s working file should connect employment terms, attendance, remuneration, benefits, deductions and actual payments. Net pay is the result of those records. It should not be used as the starting point for reconstructing an employee’s entitlement.
1. Establish the employment record
Keep the appointment or agreement, job, start date, category, pay structure and applicable conditions. Review the actual relationship rather than rely only on a contract label. Record changes in work, remuneration and employee status with their authorisation.
2. Reconcile each payroll period
Separate basic remuneration, allowances, overtime, reimbursements and benefits. Show employee deductions and employer contributions distinctly. Match the approved payslip to the bank payment, and match tax and Fund liabilities to the remittance evidence.
3. Maintain the employee-level Fund record
Reconcile contributor identity, period, contribution basis, deduction, employer share, payment and credited amount. A total payment agreeing to the bank can still conceal an individual allocation problem. Investigate missing credits and preserve the correction evidence.
4. Review departure as a separate process
Identify the last working date, reason, notice, leave, advances and other entitlements under the applicable terms and law. Distinguish employer settlement from benefits requiring a Fund claim. Give the employee a readable statement and preserve disputed components rather than hiding them in a single net amount.
