Revenue and Lease Accounting — Read the Contract Before Posting

Revenue from customers and lease arrangements require analysis under the entity's selected framework. Full NFRS can use requirements different from those in the SME or micro-entity framework. Do not copy a full-NFRS journal into an entity using another framework without checking its rules.

For revenue, identify the agreement, promised goods/services, price, variable amounts, fulfilment and the relevant recognition conditions. Billing and cash collection can occur before or after accounting recognition. For a lease, identify the rights to use an asset, term, payments, options and whether the agreement falls within the framework's lease rules.

1. Contract working

RevenueLease
Customer and enforceable termsIdentified asset and use rights
Promises/deliveryCommencement and term/options
Price and variable considerationFixed/variable payment components
Recognition timingMeasurement and discount assumptions where applicable
Receivable/contract balanceLiability/asset or other model under selected framework

A service subscription, outsourced service and right to use an asset may need different treatment. A contract called “rental” is not conclusive; examine its substance. Short-term or low-value exceptions, where available, require the specific framework and conditions.

2. Nepal example

A business receives NPR 120,000 for twelve months of service beginning next month. Receiving cash does not itself prove that all NPR 120,000 is current revenue. Identify the services and recognition pattern, then track the unfulfilled balance. VAT time of supply is a separate statutory question and may not follow accounting revenue timing.

A five-year equipment arrangement needs the selected lease framework, commencement date, payment schedule and relevant measurement. Tax deductibility of rentals and depreciation should be analysed independently; the accounting lease liability is not automatically a tax borrowing balance.

3. Changes and year-end

Track discounts, returns, claims, contract modifications, extensions and option reassessments as required. Reconcile invoices, receipts, receivables and unfulfilled performance. For leases, reconcile opening liability, interest, payments and closing balance where that model applies, and retain the measurement assumptions.

Review disclosures and related-party arrangements. A spreadsheet with a payment total is insufficient if the recognition judgement and contract facts are absent. Management should approve the policy and material judgements; source/version and professional review remain required before this article is used as an entity-specific implementation instruction.

4. Identify the promise and when it is fulfilled

Revenue begins with the arrangement and the goods, services or other rights provided. Assess the relevant recognition criteria under the selected framework, including the performance obligations or comparable requirements, price, changes and timing. A tax invoice and a bank receipt provide evidence but do not alone determine when revenue is earned.

For a service contract covering several months, connect the recognised amount to work performed and the applicable measurement of progress or completion. Keep customer advances, amounts earned and outstanding receivables separate. If a contract combines equipment and installation, examine the actual promises and their relationship before treating the total as one completed sale.

5. Read lease terms beyond the payment amount

A lease assessment considers the identified asset, the right to use it, the term and the payments or other conditions relevant under the framework. Full NFRS and SME or micro frameworks can have different treatments. Do not copy a full-NFRS journal into every entity's books without confirming which framework applies.

A Nepal company signs a premises agreement with an initial term and an extension option. It reviews the enforceable period, option and other relevant facts rather than measuring the lease from the next year's rent alone. The working connects the contract, measurement assumptions, opening recognition and subsequent balances. Deposits, maintenance charges and other service components need their own analysis.

6. Keep accounting, VAT and withholding reconcilable

Suppose a company collects an advance of NPR 300,000 for a service not yet completed. The accounting working considers the contract and framework to determine the earned portion and outstanding obligation. VAT timing and withholding rules are then examined independently under the relevant tax provisions. The same receipt can have different consequences for financial reporting and tax administration.

Maintain a bridge showing contract value, billed amounts, cash received, revenue recognised and the closing receivable or contract-related balance. For leases, reconcile payments, the accounting balance and any tax deduction or withholding. The goal is consistent evidence supporting several legal and accounting decisions, rather than forcing every decision to use the invoice date.
